We are searching for an Office Administrator to represent our agency as the first point of contact for both clients and staff at our main office and clinic location in Phoenix. This person will coordinate and perform a wide range of duties to ensure the office and clinic operates efficiently and smoothly, and will also partner with different internal departments to help improve processes for efficient service delivery, compliance with funding sources, and accurate record keeping.
This is a full-time position with a comprehensive benefit package. The starting pay range is $17.00-$21.00 per hour (depending on experience).
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Open and/or close the office/clinic depending on work schedule
Greet families and visitors; check clients in and out of service appointments with clinicians; provide high quality service coordination and resolve challenges effectively
Answer all main line office calls and route callers appropriately
Maintain office and clinic supplies and inventory; perform light cleaning and organization as needed
Manage the mail and faxes for the organization; coordinate with Staff Accountant to process payments as needed; greet and assist new staff (I.e., completing I-9 forms, notarizations, etc.)
Carry out and develop procedures for ensuring the facility meets or exceeds all location-specific requirements (i.e., fire inspections, cleaning and sanitation procedures, evacuation drills, etc.) and assist and help manage facilities related issues as they arise
Work with Administrative Team, Program Team, and Family Support Team to develop, implement and improve systems related to service coordination and for client programs
Communicate and coordinate with outside vendors on projects approved by the CEO or COO
QUALIFICATIONS & REQUIREMENTS:
HS Diploma or GED required; college degree or equivalent relevant experience preferred
Minimum 1 year of administrative experience required; 2+ years preferred
Strong working knowledge of Microsoft Office, Word and Excel
Successful experience in a role that required strong organizational skills and a high attention to detail
Experience with or knowledge of autism spectrum disorders preferred
Must be able to successfully pass a fingerprint clearance check and other related hiring requirements
Must be able to successfully pass a Tuberculosis Test
Bilingual a plus
